Privacy Policy

ChatGenio is an AI chat and lead-response platform built and operated by M Genio ("ChatGenio," "we," "us"). This policy explains what data we collect, how we use it, and the choices available to you — whether you're a business using ChatGenio on your own website and social channels, or a visitor chatting with a business that uses ChatGenio.

Who this applies to

ChatGenio is used in two ways, and this policy covers both:

Client businesses who subscribe to ChatGenio and configure it for their own website, Messenger Page, Instagram account, or WhatsApp number.
End users / visitors who chat with a business through ChatGenio's widget, Messenger, Instagram, or WhatsApp.

For end-user conversations, the client business is the data controller and ChatGenio acts as their service provider (processor). Questions about how a specific business uses your data should go to that business first; this policy describes how ChatGenio itself handles data on their behalf.

What we collect

Conversation content — the messages exchanged between a visitor and the AI or a human agent, across the website widget, Messenger, Instagram, and WhatsApp.
Contact details voluntarily provided — name, email, or phone number, when a visitor shares them (e.g. to book an appointment or request a callback).
Platform identifiers — for Messenger and Instagram, the Page-Scoped ID Meta assigns to a conversation; for WhatsApp, the phone number used to message the business. These identify the conversation thread, not a person's real-world identity, unless the visitor shares that themselves.
Technical metadata — timestamps, and for website visitors, standard web request data (e.g. IP address, browser type) used for security and abuse prevention.
Account data for client businesses — login credentials, integration credentials (e.g. Slack, calendar, CRM tokens), and configuration settings. Access tokens and secrets are encrypted at rest.

How we use it

Generate AI responses grounded in the client business's own content.
Route conversations to a live human agent when requested or needed, and deliver that agent's replies back to the visitor.
Capture leads and, where configured, sync them to the client's calendar or CRM (e.g. HubSpot).
Provide the client business with their own conversation history and analytics.
Maintain and improve the reliability and security of the service.

We do not sell visitor or client data to third parties, and we do not use conversation content to train third-party foundation models beyond the normal processing needed to generate a response.

Who we share it with

ChatGenio shares data only with the service providers needed to deliver the features a client business has enabled:

AI providers (e.g. Google Gemini, Anthropic Claude) — process conversation content to generate responses.
Meta Platforms — used to send and receive messages when a client enables Messenger or Instagram.
Slack — used to notify and route conversations to a client's human support team, when enabled.
HubSpot and calendar providers — used to sync leads or bookings, when a client connects these integrations.

Each of these providers processes data under their own applicable terms and only receives what's necessary for that specific feature.

Data retention

Conversation and account data is retained for as long as the client business's account is active, or as needed to provide the service, resolve disputes, and meet legal obligations. A client business can request deletion of their own account data at any time.

Your rights and data deletion requests

To request access to, correction of, or deletion of your data — whether you're a client business or an end user who chatted with one — email contact@mgenio.com with "Privacy request" in the subject. We'll confirm your identity where needed and respond within 30 days.

Security

Access tokens and integration credentials are encrypted at rest. Access to client data is limited to what's needed to operate and support the service. No method of transmission or storage is 100% secure, but we apply industry-standard safeguards throughout.

Children's privacy

ChatGenio is not directed at children, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact us and we will remove it.

Changes to this policy

We may update this policy as ChatGenio evolves. Material changes will be reflected by updating the date at the top of this page.
